Supplier Payment Timing Guide

Use this guide to prepare the source records, period basis, purchase or cost-of-sales proxy, supplier terms, discounts, disputes, and exceptions needed for a controlled payment-timing review.

Identify the timing measure

DPO is an average timing measure for one stated population and period. It is not the age, contracted due date, payment approval, or expected settlement date of a specific invoice.

What to include

Collect the payable source records

Gather period dates, opening and closing AP or other representative balance support, actual credit purchases when available, cost-of-sales records when used as a proxy, supplier contracts and terms, invoice and payment dates, discounts, disputes, holds, prepayments, COD purchases, and material one-time items.

Align the period and balance basis

Use one stated day convention and reporting period across the balance, purchase or cost basis, and owner input. If a closing balance substitutes for an average, disclose the limitation instead of presenting it as equivalent.

Document the denominator choice

Actual credit purchases and cost of sales are not automatically interchangeable. Record which basis is used, what it includes, and why any proxy is considered representative for the selected scope.

Review terms, discounts, and exceptions

Compare contracted terms, invoice dates, approvals, discounts, disputes, holds, and actual payment records. A longer or shorter average is not inherently better because supplier relationships, discounts, errors, mix, and operational constraints can change the interpretation.
