USDA Organic Certification

USDA Organic Certification is a certification issued by USDA-accredited certifying agents that verifies a food product meets the requirements of the National Organic Program (NOP). For food handlers and processors — companies that purchase certified organic ingredients and manufacture finished goods — certification requires ongoing documentation of purchasing, production, and sales to prove organic integrity.

What Certification Requires for Handlers and Processors

Certified organic handlers and processors must maintain:

  • Organic System Plan (OSP) — a written management plan describing all practices and procedures used to comply with NOP regulations
  • Lot traceability records — documentation linking every lot of finished organic product back to the certified organic raw materials used to produce it
  • Organic mass balance — a reconciliation demonstrating that the volume of organic product sold does not exceed the volume of certified organic inputs purchased and used in production
  • Supplier certificates — current USDA organic certificates for every certified organic ingredient supplier
  • Transaction records — purchase orders, invoices, and bills of lading for all organic ingredient purchases

Annual Audit Process

Certified operations undergo an annual inspection by their certifying agent. The inspector will typically conduct a traceback exercise — selecting a finished product lot and asking the operation to demonstrate the complete chain of custody back to the certified organic raw material. They will also review mass balance calculations to verify that organic inputs and outputs reconcile correctly.

Operations that manage these records in spreadsheets often spend a full week preparing for an annual audit. A connected operations platform with built-in organic mass balance and lot traceability can reduce audit preparation to minutes.
